AI automation agency: connecting AI agents and CRM
How to define an AI and CRM workflow, including human review, integrations and measurable pilot criteria.

Map the journey of an inquiry: form, validation, CRM, assignment and follow-up. Separate stable rules from tasks that require interpreting text. Conventional logic is often simpler for the former; AI may help with the latter.
For example, a form can create an opportunity without AI. A model can then suggest a summary and category for a person to approve.
Plan for things going wrong
An integration needs to handle missing information, duplicates, API limits and unavailable services. Use identifiers to avoid creating the same lead twice and record failures that need attention.
If an agent cannot find an answer in the business documentation, it should hand the inquiry to a person. Define permissions and approval for actions such as sending an offer or changing a customer record.
What to request from an agency
Ask for a workflow map, prototype, tests with anonymized examples and an operating guide. Clarify credential management, retained logs and recurring software costs.
Measure complete records, errors and review time before and after the pilot. Savings depend on the process and volume; a universal promise of hours saved is not a reliable benchmark.
