NICKE STUDIO / Choosing and evaluating an AI agency

The best tools for AI agencies depend on the workflow

Choose tools for an AI agency by workflow, data access, evaluation and maintenance. Compare useful layers instead of buying a long software list.

The best tools for an AI agency are the ones that make a useful workflow reliable, inspectable and affordable. A long list of subscriptions is not an architecture. Start with the task, the information it needs, the actions it may take and the evidence that will show whether it works.

For a support assistant, that might mean finding an approved answer and preparing a draft for review. It does not automatically require an autonomous agent, a separate vector database and a new customer-management platform. Complexity needs a reason that survives maintenance and handover.

Build around functions, not fashionable names

LayerA useful optionWhat to check
Workflow and integrationsn8n for connected workflows; ordinary code for simple rulesLicensing, credentials, retries and duplicate actions
Stateful orchestrationLangGraph when branching and persisted state are necessaryRecovery, checkpoints and human approval
Records and retrievalPostgreSQL, with pgvector when vector search is justifiedPermissions, source freshness and search quality
EvaluationA task-specific test set and tools such as OpenAI EvalsRelevant cases, grading and regression checks
ObservabilityLangfuse for traces, costs and evaluation contextRedaction, retention and access

These are options, not a mandatory bundle. A short workflow may need a database, one model API and a small amount of application code. An existing CRM should usually remain the source of customer records unless there is a documented reason to replace it.

Select the model by the task

Compare candidate models with the same representative inputs and the same acceptance rules. Evaluate completed output, response time and total cost, including retries and review. A cheaper request can produce a more expensive workflow if it repeatedly needs correction.

Include deterministic alternatives. A date conversion, a fixed validation rule or an exact lookup may be better handled without a language model. Reserve model use for the parts that benefit from language understanding, extraction or synthesis, and verify the result before it changes a business record.

A tool belongs in the stack when it solves a defined problem and somebody can operate it after launch. — Nicke Studio editorial note

Orchestration is useful when there is real state

LangGraph provides infrastructure for stateful workflows and agents. It can be useful when a process branches, waits for approval or must resume after an interruption. It is not necessary simply because an AI feature exists.

n8n can connect services and organize automation, but its Sustainable Use License has use restrictions and separate enterprise terms. Treat the intended deployment and commercial arrangement as part of selection. Self-hostable does not mean every resale or hosted-service arrangement is permitted.

For either approach, test what happens if a request times out after an external action succeeded. A retry should not send two invoices or create duplicate leads. The agency needs to explain recovery and repeated-request handling in ordinary business language.

Data quality includes access and freshness

PostgreSQL is a sensible place for structured records and permissions. pgvector adds vector search to PostgreSQL, but a vector index does not make every retrieved answer trustworthy. Documents still need owners, versions and access rules.

Test whether one customer's information can appear in another customer's answer. Define how deleted or replaced material stops appearing. If the existing search is accurate enough, adding embeddings may create additional cost without solving a meaningful problem.

Evaluation and observability do different jobs

OpenAI Evals illustrates repeatable evaluation, while Langfuse provides tracing and related evaluation capabilities. Evaluation asks whether output meets a requirement. Observability helps explain what happened in a particular run. A reliable service needs both questions answered, even if it uses different tools.

Do not log complete customer conversations by default. Decide which fields are necessary, how they are redacted, how long they remain and who can inspect them. A dashboard full of sensitive information creates a second data system that needs its own controls.

Choose a small stack that can be handed over

  1. Describe one business workflow and its failure conditions.
  2. Identify which existing systems remain authoritative.
  3. Test the smallest viable combination of tools.
  4. Compare quality, review effort and total operating cost.
  5. Document account ownership, backups and maintenance.

Ask for an estimated budget at your expected volume and at a higher volume. Separate software, model usage, hosting, support and setup. Prices and available features change, so request a dated quotation rather than relying on a listicle's subscription totals.
