Those benefits come from the rights granted by each license and the way the system is operated. They do not follow automatically from a public repository, a download button or a claim that a platform can run on your server.
The practical question is whether your team can legally use the proposed components, maintain them and recover its work if the agency relationship ends. A small, well-documented stack can provide more independence than a complicated collection of nominally free services.
Separate three different questions
First, what rights does the software license grant? Second, what operational responsibilities does the deployment create? Third, what license covers the model and its weights? These are different decisions. An open-source inference engine does not grant additional rights to every model that runs through it.
Ask the agency to identify the exact components and versions in the proposal. Evaluate the license attached to that version, including enterprise directories or optional add-ons. A product's marketing label is less useful than a readable inventory with links to the actual terms.
A useful shortlist, with boundaries
| Component | Verified license scope | Useful role |
|---|---|---|
| LangGraph | MIT for the reviewed repository | Stateful workflow orchestration |
| PostgreSQL | PostgreSQL License | Structured records, permissions and transactional data |
| pgvector | PostgreSQL-style license | Vector search inside PostgreSQL |
| llama.cpp | MIT for the engine | Running compatible models, subject to each model's license |
| Langfuse | MIT core, with separately licensed enterprise directories | Tracing and evaluation workflows |
Read the primary licenses for LangGraph, PostgreSQL, pgvector, llama.cpp and Langfuse. This comparison concerns the reviewed repositories, not a promise that every hosted plan or future component has identical terms.
Self-hostable is not the same as unrestricted
n8n is an important example. Its published license includes the Sustainable Use License and separate enterprise provisions. Do not present it as interchangeable with an MIT-licensed component. The intended use, including any service offered to third parties, needs to fit the applicable terms.
This distinction does not make n8n a bad tool. It makes licensing a selection criterion. The agency should explain which arrangement it proposes and which rights your organization receives, instead of treating “we can install it” as the entire answer.
The useful promise is a system you can understand and operate, with rights you can verify. — Nicke Studio editorial note
Count operations, not just subscription fees
Consider an illustrative monthly budget: hosting costs USD 90, and maintenance takes six hours at an assumed USD 35 per hour. That is USD 300 before model usage, backups, additional review or initial development. These are hypothetical inputs, not market prices or a quotation.
Compare that complete budget with an appropriately scoped managed service. Self-hosting can be worthwhile for control, integration or predictable workload, but someone must patch dependencies, monitor capacity, respond to failures and test recovery. An unattended server is not independence.
Our tools guide explains how to choose the necessary layers. The results guide helps distinguish a lower invoice from a process that actually creates business value.
Put security and data handling in the operating plan
Keeping an application on your own infrastructure does not automatically keep all information there. A workflow may still send prompts to an external model API, collect telemetry or export logs. Ask for a diagram showing every destination and the data it receives.
Require these practical controls:
- Separate credentials and the minimum permissions for each integration.
- A supported update process and a named maintenance owner.
- Redacted logs with an appropriate retention period.
- Encrypted backups and a demonstrated restoration procedure.
- A process for removing access when a person or supplier leaves.
Data location, contractual responsibilities and applicable local requirements need their own review. Do not replace that work with an unsupported claim that open source guarantees privacy or compliance.
## Applying this with your team
For an Australian team, use the actual customer channels and review hours rather than assuming one national operating schedule. Name the person who approves business terminology and the person who owns the integration. Agree on currency, handover windows and response expectations in the proposal so that a remote implementation remains understandable to the people running it. Keep an inventory of components, versions and licenses with the project documentation. Before expanding the deployment, reproduce an export and a restoration with someone from your team. That exercise tests whether the promised control can be used in practice, beyond merely accessing a repository.
Test the exit before you need it
- Export the workflow definition, prompts and configuration.
- Export the business data in a usable format.
- Record dependencies, versions and license notices.
- Restore a test instance with the documented procedure.
- Confirm which secrets and accounts must be replaced.
A handover can be tested on a small pilot before the full system is built. This is a stronger measure of portability than the number of open-source logos in a proposal.
